MAIN PURPOSE OF THE JOB

Provide a professional and flexible administrative and face-to-face or telephony customer service support to a range of council services.

MAIN RESPONSIBILITIES AND TASKS

The specific responsibilities of these flexible roles will vary depending upon the level of the post and may alter from time to time to respond to the needs of line managers and heads of service.  Responsibilities will include (or be equivalent to) those listed below (please see the Employee Specification for information about the levels of competence required for the grades):

Administrative support to ensure the smooth running of office systems, e.g. filing, photocopying, organising paperwork, arranging meetings and functions, ordering stationery and publications.

Administrative support to specific projects identified by the Team Leader.

Dealing with enquiries from internal and external customers:  face-to-face, by telephone, letter and email in a way that positively promotes the council and its services.

Developing, improving and suggesting improvements to administrative processes and systems, ensuring they are regularly reviewed and updated.

Using and keeping up-to-date with office processes and information technology, including inputting and retrieving information from databases and providing reports and Management Information as required by managers.

To work flexibly within the Business Support Services to provide support across the department and to other departments as required, e.g. responding to the needs of the business in order to meet peaks and troughs in workloads.

To respond to reasonable requests to work outside of normal office hours, across services and at various locations within the London Borough of Hounslow, as required by the needs of the service.
